To add a maintenance note to a specific property, select the correct property from the portfolio, and click Maintenance notes > Manage maintenance notes.
Maintenance notes for the property selected are filtered into the view.
The view has basic functions available at the top. Basic functions include adding a new entry to the property selected in the target list, or search for certain types of entries in the large mass. More detailed instructions on the search functions can be found here.
After you select Add a new maintenance note in the main view of maintenance notes, a form is displayed.
The following are the sections that should be completed when creating a new maintenance note:
- Enter a description of the matter.
- The occurrence date is offered as the current date by default. If necessary, change the occurrence date.
- Select a service area for the note.
- In the list, select the correct category that the note applies to.
- If necessary, documents and pictures can be added to the maintenance note or company/deliverer information can be attached to the note.
- To move the job directly to complete, place the selection here. Otherwise, the marking will remain in the processing mode.
- You can save the entry directly by clicking Finish.
- If further action is taken on the entry, click Next Step. In this case, on the Additional Actions tab, you can mark up (e.g. Water roof leaks, temporarily patched) or follow-up (e.g. It has been agreed that water roofers will be ordered to repair the leakage sites next spring). In other words, follow-up actions can be used as a checklist for an event, and the actions recorded can be checked out individually.
- If the maintenance note is related to the current regulations, place a selection in the authority entry. In this case, it is easy to extract issues related to regulations from the system to the reports.
If resourcing is enabled
When resourcing is enabled, the author of the maintenance note is automatically selected as the person responsible for the maintenance note.
You cannot change the person in charge.
